We offer a variety of ways to assist your travelers and travel arranger(s) with reservations. Depending on the number of travelers in your company, how often they travel, and their most frequent destinations, we will assign one or more designated and back-up agents to your account. And if your travelers prefer, they can book their own travel online.

Technology that helps maximize savings

To help clients maximize savings, River City Travel utilizes Quality Assurance and Low Fare Search software. These automated systems consistently run in the background of our reservation systems to guarantee that the traveler's personal preferences are met and that their reservation(s) comply with any travel policies their company has in place. Our reservation manager works in conjunction with our automated system to check quality assurance in over 20 different categories, including the following:

  • Ticket and Delivery Date—Reviews ticketing and delivery dates to ensure that they are logical, consistent, and not on a weekend or holiday. The system also checks to make sure the ticketing date is prior to fare expiration.
  • Trip Continuity—Ensures hotel and car reservations are consistent with the air itinerary.
  • Waitlist—Checks availability of the waitlisted flight or service class in the reservation system and sells the space when available without removing the waitlist reservation.
  • Seat Search—Verifies that the traveler's seat preference has been confirmed; rebooks preferred seating when possible if it has not been confirmed. Our system will continue to check for preferred seats until one hour prior to departure.
  • Hotel Low Rate Search—Checks for lower client-negotiated, published, or promotional rates at the same or alternate hotels.
  • Upgrades—Our system can monitor the flights of frequent flyers for certain airlines and request First Class upgrades 72 hours or 24 hours prior to departure. If an upgrade is not immediately available, our system will request it every 30 minutes until flight time.

Having standards and performance systems in place is important, but just as important is our clients' perception of us. Measuring the performance of our travel agents, our vendors, and the manner in which your documents are delivered can be done in a variety of ways:

  • Comment Cards—Occasionally, we will include a comment card with a traveler's documents. The cards are self-addressed and postage-paid for the traveler to complete and return to us at their convenience.
  • Bi-Annual Company-wide Surveys—On this expanded version of our comment card, we encourage travelers and coordinators to provide us with candid and straightforward feedback. Comments will be reviewed by our corporate reservations manager and client services manager. If necessary, our client services manager will schedule a time to meet with your travel coordinator to address any issues or concerns brought to our attention in the surveys.
  • Open Communication—Our management team has an "open door" policy. We are available to address questions, concerns, and problems at any time during regular business hours. As a River City client, you will have access to our corporate reservations manager, client services manager, and accounting manager, as needed.
